Frequently Asked Questions

Is LunchPlanner secure and GDPR compliant?

Yes. LunchPlanner is a professional B2B solution. We offer dedicated hosting in Germany (Frankfurt) for full GDPR compliance or in the USA for North American clients. All data is stored on high-performance enterprise servers provided by Kamatera.

How is the app installed?

The installation is done via the Microsoft Teams Admin Center. Please note that a Microsoft 365 Administrator must approve the app permissions once to ensure it can function correctly within your organization’s secure environment.

How does the hosting work?

While the app integrates seamlessly into your Microsoft Teams interface, the SQL databases are hosted on our secure external infrastructure. You can choose your preferred data location (USA or Germany) to meet your company’s internal compliance and speed requirements.

Does it require a separate login for employees?

No. LunchPlanner uses Single Sign-On (SSO) via Microsoft 365. Your employees are automatically authenticated with their existing work accounts. There are no new passwords to remember and no extra registration process.

Can we use LunchPlanner without a physical canteen?

Absolutely. We offer a free version of LunchPlanner specifically designed for teams without a dedicated canteen. This version includes our „Nearby Restaurant Search“ module, allowing your employees to easily coordinate team lunches at local eateries.

Additionally, many of our clients use this version to organize „Lunch Roulettes“ for hybrid teams, helping them stay connected via video calls while eating, regardless of their location.

How does the SumUp integration work?

The integration allows you to process payments directly through your own SumUp account, giving you two flexible ways to handle transactions:

At the Point of Sale (POS): You can use a SumUp Solo card reader (available for a one-time fee of approx. $50) to accept physical card and contactless payments directly in your canteen.

In-App Payments: Alternatively, employees can pay directly within the LunchPlanner app using all common digital payment methods. No extra hardware is required for this option.

Total Control over your Funds:
All transactions—whether made via card reader or in-app—are collected centrally in your private SumUp account. From there, you can easily manage your revenue and trigger payouts directly to your business bank account.
SumUp typically charges a small flat fee per transaction, so you don’t have to worry about high fixed monthly costs or expensive rental contracts.
Please check the current SumUp terms for the latest transaction rates in your region.

Is there a free trial?

Yes! We offer an extensive 3-month free trial period. This gives you and your team plenty of time to experience the benefits of organized lunch breaks and professional canteen management without any risk. No credit card is required to start the trial via Microsoft AppSource.
